**Administrator Assistant Job Description Position Overview:** The Administrator Assistant plays a crucial role in supporting Business Ireland South Africa (BISA) through efficient administrative, clerical, and organizational tasks. This position involves assisting leadership, managing communication channels, maintaining member records, coordinating events, overseeing financial processes, and ensuring smooth operations across digital platforms, including website management and social media. **Key Responsibilities:** * **Administrative \& Leadership Support:** * Oversee general clerical tasks to ensure smooth operations. * Provide backup support to the General Manager, Chair, Deputy Chairs, Committee, Sub\-Committee, Honorary Secretary, and Treasurer in carrying out their duties. * Maintain and update the BISA member database, ensuring accurate and efficient record management. * Follow up on member queries to ensure timely responses and support. * **Website \& Digital Media Management:** * Manage and update the BISA website, ensuring relevant content and smooth functionality. * Load events onto the website, including event details, schedules, and registrations. * Manage event payments and related financial transactions. * Prepare and update social media communications across platforms (Facebook, Twitter, LinkedIn) to enhance visibility and engagement. * **Meeting \& Event Coordination:** * Prepare agendas and materials for Committee meetings. * Attend monthly Committee meetings, circulate minutes and action lists within 48 hours, and follow up on agreed actions. * Schedule meetings, send invites to attendees, and confirm Committee member attendance. * Liaise with Sub\-Committee Chairs to collect reports at least 48 hours before monthly Board meetings. * Assist in planning and scheduling events, particularly those occurring within the current month. * Support the Treasurer and Secretary with booking and preparation for the Annual General Meeting (AGM). * **Financial \& Network Engagement:** * Assist the Treasurer with membership fee collection, budget tracking, and payment management. * Strengthen relationships with Irish business networks globally and coordinate with business chambers in South Africa. **Qualifications \& Skills:** * Strong organizational, multitasking, and problem\-solving skills. * Excellent communication and interpersonal abilities. * Proficiency in Microsoft Office, website management, and digital platforms. * Experience in event planning, administrative support, membership management, or digital marketing is advantageous. * Ability to work independently while proactively contributing to the success of the organization.
